How to Create an Excursion Risk Assessment
SafeTripBuilder allows users to create risk assessments unique to each activity. The platform will walk you through a series of steps and questions and based on your choices it will provide you with:
- A detailed Risk Profile
- A set of dynamic Policies relevant to each excursion
- A Pre-Departure Checklist
This guide provides step-by-step instructions on how to create an excursion risk assessment. This guide is divided into the same sections that the Excursion Risk Assessment is divided into. Click the below links to find step-by-step instructions for each sections of the Excursions Risk Assessment:

To Create an Excursion Risk Assessment
Excursion Details
1. Click the Create Excursion button in the top menu
2. Input the Excursion Details in the spaces provided.
Please note: that all questions with a red asterisk * are compulsory
3. Select Save and Continue once you have completed all of the questions.
Student Medical Ratios
4. Select the dropdown menu labelled: Add High-Risk Student Medical Conditions Type
5. Select any high-risk medical conditions that relate to the students who will be partaking in this excursion. You can select multiple conditions.
Please Note: if you wish to delete any of the conditions you have selected, simply click the bin icon next to it.
6. Each condition you select will generate a checklist with a list of risk controls relating to that condition. Important note: these checklists should be completed before the excursion.
7. Click the Complete Checklist button
8. Check each of the boxes as you read through each control. If you would like to add a comment to any of the controls, click the Comment button beneath it.
9. Click once you have completed the checklist
Note: You can also read a policy relating to the conditions selected by clicking the View Policy button
10. Follow the written prompts within each of the questions i.e.
- People or Providers Responsible
- Additional Risk Control Mitigation Strategies
- How many staff/supervisors attending
- How many students attending
- Supervisor & Student Gender Ratios (Optional)
11. Click Save and Continue
Please note: in your live SafeTripBuilder platform you will not be able to move to the next step if you have not completed the checklists provided at the top of this section.
Risk Categories
12. Click the button, This will check for any recent updates to your Provider Due Diligence Register and pull them into the system.
In this section you will need to provide information relating to the following risk categories:
- Transport
- Venues
- Food and Beverage
- Activities
13. Select the dropdown menu labelled Add Transport Type
14. Select the type of transport that will be used from the dropdown options provided.
15. Select the dropdown menu labelled Add Approved Providers
Note: You can also add People or Providers Responsible if your selection is not available in the Approved Providers dropdown menu above.
16. Select the dropdown menu labelled Add Venue Type
17. Repeat steps 14 & 15
19. Select the dropdown menu labelled Add Food and Beverage Type
20. Repeat steps 14 & 15
21. Select the dropdown menu labelled Add Activity Type

21. Your responses to the above questions will generate a checklist which can be reviewed and completed by clicking the View Policy button and the Complete Checklist button at the beginning of the Risk Categories sections.
22. Click at the bottom of the Risk Categories section.
23. In the window that appears, tick the checkboxes for each policy or checklist you want to export to PDF

Additional Information
In this section, you can upload any further information that may be relevant to the excursion. This may include other risk assessments, medical information, or additional policies and procedures.
24. Click Upload and select a file from your device.
25. Write a brief summary of the file in the textbox beneath Summary, this field is mandatory. You can add a longer Description in the textbox beneath File Description.
Note: You can upload as many files as you wish by selecting Add New or you can clear the files you have uploaded by clicking the Clear and Restart button.

Excursion Risk Assessment
Taking all of the information you have input in the previous sections into account complete the following steps to create a risk assessment for the excursion.
27. Click the downward facing arrow next to Likelihood
28. Select an option from the dropdown menu that appears
29. Click the downward facing arrow next to Consequence
30. Select an option from the dropdown menu that appears
31. Click the downward facing arrow next to Rating
32. Select an option from the dropdown menu that appears
33. Enter any additional information in the space provided beneath Notes

35. Read through the checklist and tick the checkboxes as you go through. You can also add a comment for each point by clicking the button

37. Click to export a PDF version of the Risk Assessment
38. Tick the checkboxes next to the information you want to export to PDF
39. Click Export

Mandatory Excursion Checklists
41. Complete each of the mandatory checklists by clicking the button next to each of them.
42. Click
Excursion Risk Management Confirmation
43. Click the checkbox next to the acknowledgement statement.
44. Click Save
At this stage you will be redirected to a screen with an overview of your excursion which is now ready for approval.
