How to Use Groups to Assign Mandatory Learning
There are two main approaches to setting up mandatory training using Groups in CompliLearn. The first approach is setting due dates based on a timeframe (i.e. 2 weeks, 1 month etc.). The second approach is by setting a fixed calendar due date . This guide will take you through the pros and cons of each of these approaches as well as providing step-by-step instructions on how to assign mandatory training using either of these methods.

Learning Due Dates that are Set Based on a Timeframe
This approach allows Content Administrators to set a time frame for a learner to complete the assigned learning (i.e. 2 weeks, 1 month etc.)
You may consider this approach if you want to assign training based on the start date of staff (or when they are added to the Group). Different staff members will then be completing training at different times depending on when they have joined the organisation.

How to Assign Mandatory Learning Based on a Timeframe
1. Create the course/s that you wish to assign to staff
Tip: You may wish to pre-load four courses that correspond to the four quarters of the year, that way you can assign one course per quarter.
2. Click Groups in the top menu
3. Select the group you wish to assign learning to
4. Click +Assign in the top right
5. Search for and select the learning you wish to assign
6. Click Continue
7. Click the downward facing arrow and select Months from the dropdown menu
8. Change the number in the text box to 3
9. Click Assign
10. Repeat steps 2-9 for the remaining courses and change the number of months e.g. for quarterly the next course would be set for 6 months and the following would be set for 9 months etc.
Once you have assigned all four courses, click the Assigned tab and you should see the timeframe that will be set for each of the learners.
Please note: reminder emails will be sent based on the due date for each individual learner.
Learners will be able to see the four courses assigned to them in a timeline view if they do the following:
1. Select My Learning
2. Click the Schedule tab
In the example below, the learner was added to the group on the 8 May 2023. The first course is due 8 August 2023 (3 months), second course is due 8 November 2023 (6 months) and so on.
In the future, when you add new learners, they will automatically be assigned the existing courses in the group and their learning schedule will be based on when they are added to the group.

Learning Due Dates that are Set for a Specific Due Date
This approach allows Content Administrators to set a specific due date for all learners in the group to complete the assigned training. (i.e. 31 January).
You may consider the second approach if you would like to use Groups to assign training in bulk/on mass to staff. All staff will be completing the same training at the same time based on calendar year regardless of when they have joined the organisation.

How to Assign Mandatory Learning that is Set for a Specific Due Date
1. Create the course/s that you wish to assign to staff
Tip: You may wish to create course names based on the month or season in which your staff will be completing the learning to help with reporting.
2. Click Groups in the top menu
3. Select the group you wish to assign learning to
4. Click +Assign in the top right
5. Search for and select the learning you wish to assign
6. Click Continue
7. Click the downward facing arrow and select Date from the dropdown menu
8. Click Due date and select your preferred due date from the calendar that appears.
9. Click Assign
Important note: Ensure that you remove any old courses from the group to do so:
a) Select the Assigned tab
b) Click the three dots next to the content
c) Select Remove from Group in the dropdown menu
