How to Customise Your Home Screen Dashboard and To Do List in Assurance

Full User or Lite User is required. Your access rights will determine the amount of data visible.
The first screen that you will see each time you log in to Assurance is your Home Screen, therefore it is important that it presents information that is important to you in a way that is clear to you. Assurance allows users to customise their home screen and provides a range of snapshots to choose from.

1. Adding Snapshots to Your Home Screen
To add a snapshot, select on the Add Snapshot button in the top right-hand corner of the screen.
Any snapshots that are not already displayed will be available to add by selecting on the checkbox next to the name of the snapshot.
The snapshots can be dragged and dropped to differing areas of the screen to customise the layout. To move a snapshot to another position, drag and drop by selecting on the arrow cross icon.
2. To Do List
This snapshot provides the user with all items that require their attention over the next 30 days, such as:
- Task
- Checklist
- Registers & Forms Approval
- Registers & Forms Close
- Risk Review
- Credential Renewal
- Email to Assurance
To customise your view, select on the vertical ellipsis.
The list can be customised to display different types of items, statuses, and range of time period.
You can customise the To Do List by selecting the number of days to Look Ahead (in days) so that it displays upcoming items that require the user's attention in the next 30, 60, 90 or 180 days.
3. My Snapshot
This is a personal snapshot of the responsibilities assigned to you. This snapshot includes:

Open - This displays the number of Open Registers & Forms assigned to you

Expiring This Month - This displays all the Registers & Forms with an End Date within the current month

Expiring Next Month - This displays all the Registers & Forms with an End Date within the Next Month

Tasks

Overdue - This includes overdue tasks that have not been started and overdue tasks that are in progress

In Progress - This shows all in progress tasks irrespective of whether they are overdue

Due This Month - All due this month

Due Next Month - All due next month

Checklists
-
Overdue - This includes all overdue checklists that have not been started and are in progress (doing)

Doing - This includes checklists that are in progress

Select on the vertical ellipses to add or remove Registers & Forms, Tasks, Risks or Checklists from your view.
4. To Do Calendar
The To Do Calendar provides users with a clear view of upcoming tasks from their To Do List. Users can select on the items displayed in the calendar snapshot and access them as they would from the list view.
To switch to the calendar view, select the Calendar option in your To Do List snapshot. You can switch between month, week or day view.
5. Open Registers & Forms
This snapshot provides a quick overview on number of open Registers & Forms. The center of the graph displays the total number.
Select on the ellipses to:

Settings - change Business Units, Templates and Categories.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Registers & Forms Templates and all Registers & Forms Template Categories. However, this can be limited to one or more Templates or Categories.

Save As - create a copy of the snapshot.

Download - to create a jpg of the snapshot.

Remove - to remove the snapshot from your home view.
To drill down to a stacked bar chart, select on a segment in the pie chart.
The bar chart will then show Registers & Forms by Stage. Each Stage is segmented into the Business Units those Registers & Forms belongs to.
To be taken directly to relevant Registers & Forms data, select on segments on the bar chart. This will show the Registers & Forms filtered by the relevant segment.
6. Registers & Forms with Issues
This snapshot aims to identify open Registers & Forms with Credentials or Tasks that are overdue.

Credentials - Overdue requested / Overdue not requested yet.

Tasks - Overdue Not Started / Overdue In Progress (Doing).
Select on the ellipses to:

Settings - change Business Units, Templates and Categories.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Uits by selecting those Business Units.
By default, the snapshot will show all Registers & Forms Templates and all Registers & Forms Template Categories. However, this can be limited to one or more Templates or Categories.

7. Expiring Registers & Forms
This snapshot will show all Registers & Forms that are expiring over the next 12 months.
Hovering your mouse over the graph displays break down by Registers & Forms template.
To be taken directly to relevant Registers & Forms data, select on segments on the bar chart.
Select on the ellipses to:

Settings - change Business Units, Templates and Categories.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Registers & Forms Templates and all Registers & Forms Template Categories. However, this can be limited to one or more Templates or Categories.

8. Tasks
This snapshot shows the status of Tasks in Assurance.
Select on the ellipses to:

Settings - change Business Units, Categories and Due Date Ranges and Graph Time Intervals.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Task Categories. However, this can be limited to one or more Categories.
Due Dates can be selected for the Current/Past/Next Week, Month, Quarter, Year or Custom Ranges.
Graph Intervals can be shown in Months, Quarters or Years.

9. Overdue Tasks
This snapshot shows an aging analysis of overdue Tasks broken down by Task Priority.
Select on the ellipses to:

Settings - change Business Units and Categories.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Task Categories. However, this can be limited to one or more Categories.

Remove - to remove the snapshot from your home view.
To drill down into the Task Results that need to be completed, select on a segment of the bar chart. This will show the Tasks Results filtered by the relevant segment.
10. Task Status by Categories
This snapshot shows Tasks and separates them into Categories with a breakdown by Status.
Select on the ellipses to:

Settings - change Business Units, Categories and Date Range.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Task Categories. However, this can be limited to one or more Categories.
Due Dates can be selected for the Current/Past/Next Week, Month, Quarter, Year or Custom Ranges.

11. Risk
This snapshot shows the Risk Matrix set up for your organisation.
The numbers represent Registers with Risk Assessments that fall under those categories in the Risk Matrix. Selecting on the number will show a list of the Risks and Hazards from the Registers under that category.
Select on the ellipses to:

Settings - change Risk Matrix (if your business uses a Two Risk Matrix setup), Business Units, Templates and Categories.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Registers & Forms Templates and all Registers & Forms Template Categories. However, this can be limited to one or more Templates or Categories.

12. Registers & Forms Notes
This snapshot shows the latest Notes made in Registers & Forms. The Notes shown are only they ones that you have access to.
By default, the latest five Notes are shown, and to see more select on the next page button.
13. Registers & Forms Waiting for Approvals
This snapshot shows the Registers & Forms that are Waiting for Approval to move to the next stage, and how long they have been awaiting approval.
Select on the ellipses to:

Settings - change Business Units, Templates, Categories and Approvers.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
By default, the snapshot will show all Registers & Forms Templates and all Registers & Forms Template Categories. However, this can be limited to one or more Templates or Categories.
Specific Approvers can be selected.

14. Scorecard
This snapshot shows the Registers & Forms at a glance.
By default, the information is a list of Registers & Forms Templates and a count of how many records are in that Template as well as a count of Entities. The information can also be shown by Risk Ratings, Programs or Locations.
The Templates and records shown are only the ones that you have access to.
Select on the ellipses to:

Settings - change Registers & Forms Templates, Risk Ratings, Programs and Locations. (This can also be accessed by selecting on the Edit Scorecard button.)
By default, the snapshot represents All data. The data can be limited to either one or more Registers & Forms, Risk Ratings, Programs and Locations.
Other numeric or select fields can also be added to the scorecard.

To be taken directly to relevant data, select on rows within the scorecard. This will show the full list view with relevant filtered information.
15. Registers & Forms Stages
This snapshot shows an overview of a particular Registers & Forms Template and how many records are in each stage, broken up by Business Unit.
This snapshot can only show one Template at a time.
Select on the ellipses to:

Settings - change Business Units, Templates, Stages and Statuses.
By default, the snapshot represents All Business Units. The data can be limited to either one or more Business Units by selecting those Business Units.
Specific Stages and Statuses can also be selected.

16. Bookmarks
This snapshot shows Reports and Registers & Forms for quick and easy access.
Bookmarks can be removed by selecting on the bookmark icon.
