Assigning a checklist to a user in Assurance

This article provides step-by-step instructions on assigning a checklist to a user in Assurance.
1. Assigning a checklist to a user
You can assign a checklist to a user from the checklist library, when viewing the checklist details or through the checklist assignments tab.
To quick assign a checklist to a user from the checklist library:
- Select Checklists from the navigation menu then select Checklists from the dropdown menu.
- Next to the checklist that you want to assign, select on the ellipsis icon.
- From the More Actions dropdown menu, select Assign Checklist.
To quick assign a checklist to a user from the checklist details tab:
- Select Checklists from the navigation menu then select Checklists from the dropdown menu.
- On the Checklist Library page, select on the Key to the checklist that you want to assign.
- Under the Details tab of the checklist, select on Assign Checklist.
To quick assign a checklist to a user from the checklist assignment tab:
- Select Checklists from the navigation menu then select Checklists from the dropdown menu.
- On the Checklist Library page, select on the Key to the checklist that you want to assign.
- Switch to the Assignments tab then select Assign Checklist.
2. Quickly assigning a checklist
2.1. Single assignment
All methods outlined above will reveal a Checklist - Quick Assign popup modal. To quickly assign a checklist:
- Select the Person Responsible. Entering multiple users will allow more than one person to work on the same checklist.
- The Business Unit will automatically be populated. However, you can adjust it or enter multiple business units for this checklist.
- Enter a Due Date for the checklist to be completed.
- For recurring checklist, select the Repeat tick box and configure the repeat frequency.
- Linked Forms or Registers can also be added to the checklist.
- Select the Assignment Settings section to configure the assignment settings for this checklist.
- Select the Save button to assign the checklist.
2.2. Checklist assignment settings
By default, checklists are created with the settings as configured by your Assurance administrator at the organisational level. This is applied to all new checklists created but can be tailored by the checklist creator at the checklist level. When assigning a checklist, you will have the opportunity to tailor the settings at the checklist assignment level. For example, each assignment of a checklist can be configured with varying levels of repeated notifications before the due date without affecting other checklist assignments.
To ensure a notification is sent to the person responsible on assignment, configure Notification On Assignment to Immediate Email. Alternatively, the checklist will appear as part of the user's daily reminder notifications if Batch Email is selected. No assignment notification will be sent if None is selected.
Assigning a checklist to multiple users?
A checklist can be assigned multiple times to different people. For example, one checklist can have ten different assignments for ten different business units. This can be done individually or via bulk assignment.
