How to Close a Form on a Register in Assurance

1. Closing a Form
1. Select Registers and Forms from the menu bar and select the name of the Register.
2. Navigate to the Form in the Register and select the Key or Title of the Form.
3. Select the More Actions icon (three vertical dots) and then select Close from the drop-down menu.
Tip
You can also use the keyboard shortcut by typing the letter 'c' to initiate the closure of the Form.
4. A pop-up message will ask you to confirm the closure. Add a Note and select the Confirm button to close the Form. Depending on if approval is required, an Approver may be required to approve the closure prior to the Form being closed off.
5. Once a Form has been closed off, you may reopen the Form by selecting Reopen from the More Actions icon (three vertical dots).
2. Bulk Closing Forms
1. If you have access to Bulk Actions, select the Form(s) using the checkbox next to the Form(s).
2. A Tools icon (wrench) will appear. From the drop-down menu, select Close Forms.

The Tools icon (wrench) will only appear if Form(s) has been selected using the tick box(es).
3. What to Look Out for if There Is Something Preventing the Form from Being Closed
- There are mandatory fields that need to be completed first. A value will need to be entered into these fields (which will be identified) before you can go back and close the Form.
- If you have an Approver in the final stage of the workflow, by selecting 'Close' you are requesting the approver to close the form. This will notify the Approver, and they will need to select approve to close the Form.
4. Searching For Your Closed Forms
1. To find your closed Forms, you will need to change the 'Status' filter on your Register from Open to Closed or turn the filter completely off.
2. To change the filter, select the filter Status : Open from the filter bar.
3. In the Selected Filters pop-up that appears, select the white space next to the filter Status and add in the word 'Closed'. Select the blue Apply button. Your Closed Forms will now appear in your Register.
4. To reveal your Open forms, simply repeat the process and select the Open status.
5. To have both Open and Closed forms in your Register view, select the x button to remove the status filter.
