Reporting Options in Policy Connect
Overview
Policy Connect gives Group Administrators a range of reporting tools to help you understand and manage what’s happening across your sites.
From checking which values are locked, to tracking logins and reviewing set-up completion — everything you need is available in Settings.
This article shows you how to answer common reporting questions using the tools in PolicyConnect.
1. Context Key Library – See What’s Controlled
Purpose:
Check which context key values are locked across your sites.
Use when you want to know:
“What information is controlled by the parent site?”
How to do it:
-
Go to Settings > Context Key Library.
-
Turn on the Show Group Locked Only filter.
You’ll now see all values that are locked across your sites — meaning they’re controlled by you as the parent.
Tip:
Use this filter to reassure yourself which settings have been standardised and can’t be edited by child sites.
2. Group Publish – Track and Control Content Distribution
Purpose:
See which module updates need to be pushed to child sites.
Use when you want to know:
“Which modules are out of date on child sites?”
How to do it:
-
Go to Settings > Group Publish.
-
Review the list of modules.
-
Push updates to bring all sites up to the same content version.
Tip:
Use Group Publish regularly to reduce policy drift and keep content versions aligned across your network.
3. Content Admin – Manage, Reorder, and Monitor Content
Purpose:
Manage your organisation’s content and track how it’s used across sites.
Manage My Content
Choose which UGC modules are distributed to child sites.
Useful for controlling which modules are shared across your group.
Reorder My Content
Change the order of pages within UGC and Ideagen Policy Logic modules.
Useful for keeping content organised and easy to navigate.
My Content Status
Track which child sites haven’t accepted the latest module updates.
Useful if you allow sites to decide when to accept updates — helps identify policy drift.
4. Report Dashboard – Analyse Site Activity
Purpose:
Get insights into user activity, learning, and module set-up.
Login Report
See how often users are logging in.
-
Last Login Only: Shows the number of unique users who logged in during the period.
-
All Logins: Shows the total number of logins (up to 500 records).
Tip:
Export the CSV to Excel and create a Pivot Table to identify which sites have the fewest logins.
CompliLearn Data
Track how users are engaging with CompliLearn training.
Useful for understanding learning participation across sites.
Set-up Report
Extract set-up information for each module across all sites.
You can:
-
See all questions answered across sites.
-
Or run a report to show only incomplete items.
Useful for identifying which sites still need to finish their set-up.
5. Content Register – Analyse Page Visibility and Updates
Purpose:
Review detailed content information across all child sites.
Use when you want to know:
“Which pages are public, hidden, or due for review?”
How to do it:
-
Go to Settings > Content Register.
-
Export to CSV.
-
Filter columns to find what you need:
-
Public Link: See which pages are published publicly and their URLs.
-
Visibility: Find pages hidden from staff.
-
Last Updated: Identify pages that haven’t been updated recently.
-
Tip:
The Content Register is a powerful report for answering complex questions about what content exists on each site — and how current it is.
