Emailing documents, images, and videos to Assurance
Who is this article for?Users who want guidance on emailing documents, images and videos to Assurance.
Full User Type and Form access role are required.
The Email to Assurance feature allows Full Users to forward emails, documents, videos, images, and more directly to a Form on a Register. When Assurance receives an email, it uploads the email and its attachments to the Form separately.
This article shows you how to take advantage of this feature.
1. Finding "Email to Assurance" address
Before you can send any files to Assurance, you need to find your unique email address.
This address is unique to you and cannot be used by anyone else. If it is used by another person, the email and any attachments will be deleted. You will be notified if Assurance has received an email from an unknown email address.
To find the email address:
- Open your profile.
- Select Settings.
- Locate the Email to Assurance section.
- Click Copy to add the address to clipboard.
- Save your the address to your email address book.
This will allow you to use this feature any time you want.
You can also reset the Email to Assurance address by clicking the Reset Email Address button.
Please note
After you reset your Email to Assurance address, any emails sent to the old address will not be uploaded to Assurance.
2. Sending files to Assurance
When you receive a message that you would like to forward to Assurance:
- Click Forward in your email software.
If you have more than one email account, ensure that the address you are sending From matches the email you use to login to Assurance. - Add the unique Key in the subject line.
- Add your Email to Assurance address in the To or Bcc line.
If you are sending an email only to Assurance, put the Email to Assurance in the To line.
If you are sending the email to multiple people and not just to Assurance, you should use the Bcc line to avoid revealing your unique Email to Assurance address to others.
The email and the documents that have been forwarded to Assurance are uploaded to the Attachments tab of the relevant Form.
You will also receive a confirmation email that the email was successfully uploaded.
3. Associating file with form
If you forget to put the Key in or get the Key wrong, Assurance will send you an email informing you it was 'Unable to Locate the Form'.
If you view the email, it will tell you how to login to Assurance and find the right Form.
To associate the file:
- Sign in to Assurance.
- Find the email in your To Do List.
- Click Find Registers & Forms button to associate the email with the correct Form.
Alternatively, select Delete to remove the email and attachments from Assurance.
If you have sent the email to an incorrect Key and a Form with that Key exists, Assurance will upload the email and any attachments to that Form if you have access rights to it.
