Setting a register template as Super Sensitive
Who is this article for?Users who want guidance on setting up Super Sensitive register templates in Assurance.
Super User permissions are required.
A Register Template can be set as Super Sensitive. This feature restricts the users who can view and manage Forms in a Super Sensitive Register Template.
This article shows you how to do that.
1. Accessing Super Sensitive templates
There are specific restrictions for Super Sensitive templates:
- Only Super Users can provide other Full Users with access rights to Forms in a Super Sensitive Register Template.
- Only Super Users can manage a Super Sensitive Register Template.
- Only Full Users with Super Sensitive Update Rights can be made the Person Responsible to a Super Sensitive Register Template.
- Only Full Users can be made an Approver for a Super Sensitive Register Template.
Any Full Users with Read All Template Rights and Manage All Template Rights will not see Forms in Super Sensitive Register Templates. They will need to be given explicit Super Sensitive Access Rights.
2. Setting up Super Sensitive templates
To set a template as Super Sensitive:
- Select Administration (Cog icon) at the top of the screen.
- Click Register and Forms Templates under the Registers and Forms section.
- Open the desired template you would like to make Super Sensitive.
- Switch to the Details tab.
- Click Edit.
Remember
Only Super Users can manage, administer and grant other Full Users with access rights to Super Sensitive Register Templates.
- Tick the box under Super Sensitive.
- Click Update.
If the register template is used in any custom Access Roles, you will see this error message.
To continue, remove this register template from any custom Access Roles. To learn more, refer to our help article on customising Access Roles.
Only users who will be able to view or be made Person(s) Responsible for these Forms are Super Users and Full Users who are given explicit access to Super Sensitive Forms by Super Users.
3. Granting Full Users access to forms
If a register template has existing forms before it was set to Super Sensitive, the Person(s) Responsible will remain there and can continue to view the forms until they are removed.
However, if you attempt to edit a Super Sensitive form that has a Person Responsible without the appropriate Access Roles, you will receive this error message until they are removed.
To grant a Full User access to Super Sensitive Forms, they need to be assigned the correct Access Role.
Only Super Users can assign other Full Users to Super Sensitive Forms. Super Sensitive Access Roles work in the same way as Register Access Roles, but they cannot be set up by Category, only by Template.
For a Full User to be made a Person Responsible for a Super Sensitive Form, they will need to have at least Super Sensitive Update rights to that Register Template. They get Read, Update, Close and Re-Open to that Super Sensitive Form while they are the Person Responsible for a Super Sensitive Form.
Any Full User can be made an Approver for a Super Sensitive Register Template. However, they will need to have at least Super Sensitive Update rights to that Register Template, if the Public Link has been enabled. This ensures that the first stage Approvers can be designated as the Person Responsible for a Super Sensitive Form.
