How to Create, Edit or Remove Access Roles in Assurance

Administrators who want guidance on managing Access Roles in Assurance.
Administration Access is required.
Access Roles provides Full users with the ability to perform certain actions and to view certain data in Assurance. By default, your Assurance site includes a range of system generated Access Roles (as denoted by the * next to the Role Name). However, you are not restricted to using only these roles. We recommend creating custom Access Roles to meet the specific needs of your organisation. The following step-by-step guide provides instructions on how to create custom Access Roles for your Assurance site.
1. How to create a custom Access Role?
The following steps provides instructions on how to create a custom Registers & Forms role.
- Select on the Administration cog icon from the navigation bar.
- Under the General section, select on the Access Rights button.
- Select on the All Roles button. The All Roles screen lists all the access roles that are created and the number of users that have that role.
- Select on the + New Role button.
- From the Select Role Type dropdown menu, choose the desired role type, e.g. Registers & Forms.
- Enter a Role Name that enables you to easily identify the role, e.g. "View - Complaints Form".
- Most role types allow you to limit access to selected categories or all categories. For the Registers & Forms role type, you can customise by selected Rights, and selected templates, selected categories, or all templates.
- Select the Save button to create the custom role.
Please note
Do not select an entire category or all templates unless you want all items in that category or all templates to be accessible to users who are assigned to that Access Role.
2. How to edit or remove a custom Access Role?
Custom Access Roles can be edited or removed by selecting on the pencil or bin icons next to the specific role. Once there are no users assigned in a custom Access Role, you may select on the bin icon to remove it from you list of Access Roles.
Please note
Editing a custom Access Role will immediately update the permissions for all users assigned with that role.
