Accept and Publish Content Updates
Ideagen periodically releases updates to the subscribed content you have on your PolicyConnect site.
These changes must be reviewed and accepted by an administrator in order for them to become visible to general users.
For group administrators on parent sites, these changes must also be published to become visible on child sites.
This guide provides step-by-step instructions on how to accept content updates and options for publishing to child sites.

Accept a Content Update
1. Click the Eye icon in the top menu to enter Administrator View.
2. Click the Update bubble next to the relevant module/s. This will appear as a small grey circle with a number in it.
3. Read the summary provided by the content team.
- use the Export button to print/download the summary
- select Next to review the changes page by page
4. When you select Next the Module Update Summary will appear:
- The left-side panel shows the table of contents for the module.
- Added pages will be highlighted Green, Deleted pages Red, and Modified pages Yellow.
- The main panel shows an information key, followed by a summary of which pages have been added, deleted, and changed
5. Select the page you are interested in reviewing from the left-side panel. This will change the main panel to show you the Page Differences for that specific page. From there you will be able to:
- review the current content against the updated content
- export these differences using the Export Differences button
- return to the Update Summary using the Return to Update Summary button
- select another page from the left-side panel to review page differences for that page.
6. When you have reviewed all pages, select the Update button at the bottom right-hand side of the screen.
Content Update and Publishing Options
There are 3 options available for group administrators.
- Update parent site only
- Update parent site and push to child sites
- Update all sites automatically
Update parent site only
This option is ideal for where you may wish to review the content in more detail once it is accepted. In this scenario, you will need to remember to publish to child sites at a later date, via the Group Publishing page.
Update parent site and push to child sites
This option allows you to accept the content update and push directly to child sites for each child site to accept individually. They will then be able to follow the same steps as above to review changes to individual pages and accept the content onto their site when they are ready.
Update all sites automatically
This option allows you to accept the content update for the parent site, and for all child sites. What this means for the child sites, is that they will not see a content update bubble on their table of contents. They will just see the updated content on their site. They will of course be able to navigate to My Content Status to see a summary of the export notes to learn more information about what has changed. This option brings all sites to the same content version, so is best for scenarios where this is important to you.
What Happens Next?
When the first two options are selected, the system will accept the content update on the parent site and then close the Module Update Summary Window. You will see the content update bubble disappear from the table of contents. You will see a banner appear on the top of the screen letting you know if the action was successful or not.
When the third option is selected, the system will accept the content update on the parent site and then close the Module Update Summary Window. You will see the content update bubble disappear from the table of contents. You will also see a banner appear on the top letting you know that the update was successful on the parent site, and that you can go to the Processing Queue to monitor the progress of the updates on the child sites.
The Processing Queue
The Processing Queue shows the status of "publish and accept" activities. You can see in the image below that it also shows the progress of the activity.
You can select the Refresh button at any time to get an up-to-date view of how the activities are progressing.
If something has not worked as expected, for example 1 of the child sites has failed, you will see a button in the Actions column that lets you retry the publishing to that child site. If you still continue to get an error after this, please reach out to our support team.
