How to Set Up Credentials and Eligibility Criteria in Assurance
Register and Form templates can have contract or Service Provider related “Eligibility Criteria” set up by an Assurance administrator. A typical example of Eligibility Criteria would be Provider Due Diligence certification, Professional Indemnity Insurance of a certain value for the Supplier, Service Provider or Person “Entity” or particular qualifications/certifications such as Working with Children Checks for Volunteers.
When a new form submission is created, these eligibility criteria are then matched with the Credentials of the Supplier or Service Provider (Entity). If the Entity does not have the Credentials required to meet the Eligibility Criteria for the service or contract, the person responsible can either:
- Request the Credentials directly from the Entity (e.g.: Person, Service Provider or Supplier); or
- Renew or Upload the Credentials directly if they are already being stored elsewhere; or
- Approve or Mark the Credential as “not required" for that contract or Entity.

Creating New Credential Types
Firstly, the credentials will need to be set up as Credential Types in the Administration section. To do this, select on the Administration gearwheel in the top-right of the screen, then select Credential Types:

This screen will display a list of the Credential Types currently set up in your Assurance site. To add a new Credential Type, select +New Credential Type:

Next, you will need to fill out the details of the credential. The details required are:
- Credential Source: Select whether this credential is required by an Entity or a Service Provider.
- Credential Name: Name of the credential, e.g. Public Liability Insurance.
- Credential Requirements: Instructions for what is required for this credential.
- Renewal Date Required: Select whether this credential will need to be renewed on a regular basis. If yes, some further fields will appear for notifications around the credential renewal date.
- Evidence: Will this credential require evidence to be uploaded against it e.g., a certificate.
- Show Optional Evidence Attachment on Credential Request: If the evidence is optional, do you still want the Entity/Service Provider to have the option of uploading evidence.
- Credential Details: Does the Entity or Service Provider need to provide a description of the credential when uploading it.
After selecting Create, the new credential will appear in the list.
Setting Up the Eligibility Criteria
Once the credential types have been created, they will need to be set up against a template before they can be requested. To do this select Registers and Forms Templates from the Administration section:

On the list screen for the templates select the template that will require the credentials. Then on the Details screen for that template, select Edit:

Then scroll down to the field labelled Credentials and Eligibility Criteria. If the field is currently not ticked, simply tick it and two new options will appear, Entity Eligibility Criteria and Service Provider Eligibility Criteria:

If you select into one of these fields you will see a list of the Entity or Service Provider Credential Types that have been set up:

Select the ones that you want, then hit Update. If you scroll down on the Details screen you will now see that these Credential Types are required for this Registers and Form Template:
